Last year we were becoming increasingly frustrated at the cost of back office software and the fact that most of the providers of software expected us to pay a monthly fee and also an extra charge for every machine that we used the software on.

We wanted a system, which we could put client’s details on, with links to client’s files, and not have any restrictions on how many machines we used the program on.

Justin Clarke of CIOS Ltd came to see us and we asked him if it was possible to produce a back office system for us which would be our own system and could be used by us on any number of machines and accessed remotely via the internet from our server.

Justin asked us to set out the criteria and then designed Datafresh to our specifications. We are extremely happy with the results and with Justin’s help are still developing the system to allow us to integrate client details, files and appointments. It also allows us to obtain demographic and other specific details, which can be used to target clients for mail shots.

The main benefit as far as we are concerned is that we now have a system that gives us exactly what we want and can be used as we wish without having to obtain and pay for more licences. We also, in conjunction with CIOS, intend to develop the system to provide links for research and, through our website, allow clients to access their policy details. With CIOS’s help we hope to eventually have a fully integrated back office system which can be used for not just client records but for billing, accounts and all administration requirements.

Justin has been instrumental in providing us with professional IT services and has provided us with a product that does, initially what we asked for, but can be adapted and developed to provide a bespoke system for anyone that requires a relational database based system.

The other main criteria, which we gave Justin was that the programme should be easy to use by a computer novice. He has achieved this by adding a user-friendly interface between the operator and the programme itself and I believe that anyone can easily learn to use the programme within 30 minutes or less.
